A bone china sample review may refer to a physical sample, an image, a written brief and several comments. Give each reference a clear label before discussing a change. A photograph note is not approval of a physical piece, and a preference is not a decision until the relevant people confirm it.
Start with the reference currently under review. Record its name or internal reference, the date it was shared and the specific question being considered. If the sample itself is available, say so; if the discussion relies on a photograph or drawing, identify that instead. This small distinction keeps later readers from assuming that someone inspected an item they did not see.
When a new version arrives, summarise the requested change in plain language and point to the part of the brief it concerns. Keep the previous wording available so the change can be understood in context. Do not infer dimensions, materials, decoration methods or performance from an image. Those details need their own appropriate source and confirmation.
Comments from different reviewers can be grouped by topic, but retain who raised each open question and whether a response has been received. One person’s preference does not automatically represent the whole buying team. Where feedback conflicts, list the alternatives and ask which direction should guide the next review rather than silently combining them.
A revision log can include the current reference, earlier versions, questions answered and items still open. If the brief changes again, mark which files need to be revisited, such as a caption or enquiry summary. Keep production or order status out of the record unless it is confirmed in the relevant correspondence.
The log is an editorial aid for following a tableware sourcing conversation. It does not establish sample approval, supplier capability, product properties, packaging performance or delivery arrangements. Its useful scope is the references and comments actually reviewed; any conclusion beyond those records requires separate confirmation.
Before sharing the log, check that filenames and captions match their references. Remove unrelated personal or commercial information from public material. A dated record helps locate the next question without turning an open discussion into an assumed agreement.
