A tableware enquiry can contain a reference image, a photograph of a sample and a note about a review. These are different kinds of material. Label each one according to its actual role before using it in a brief. A file being reviewed does not, by itself, mean that it has been approved for an order or for production.

For a reference image, state why it is included. It may point to a visual relationship, an appearance preference or a question about a visible detail. Identify the source and the permitted sharing scope. Do not describe it as an actual sample from a supplier unless that identity has been confirmed.

For a sample record, retain the reference used by the people discussing the actual piece. Link the record to the relevant images and correspondence. If someone has reviewed only one aspect, describe that aspect rather than marking the whole item approved. Keep questions and proposed changes separate from the decision that was actually recorded.

Check the wording attached to every file. Terms such as reference, under review and confirmed should not drift in meaning as a folder is copied or forwarded. Where a status is unclear, ask the person responsible for that part of the discussion. Do not complete a missing record with an assumption about what another participant intended.

Before sharing the next brief, identify which files are current and which are retained only as background. A later image should not silently replace an earlier sample record, and a caption should not expand the scope of a limited response. Explain any change to the people using the material and preserve the relevant context.

This method helps organise the status of discussion materials. It does not establish product properties, conformity or manufacturing capability. Actual specifications and order arrangements need their own appropriate confirmation; neither an attractive reference image nor an unexplained review label can supply that evidence.
