An artwork handover for bespoke tableware is easier to follow when the files, intended placement and review decisions can be traced together. This is a record-keeping checklist for a design conversation. It does not establish a supplier’s production capability or confirm that a proposed design can be manufactured.

Give each artwork file a clear reference, date and version number. Keep the editable file and the shared preview distinguishable, and record which version was sent to whom. If a revised file replaces an earlier one, retain the earlier record and mark it as superseded rather than leaving several files labelled final.

Link each design to the intended piece and a labelled placement reference. Describe the proposed orientation and location, and separate confirmed requirements from preferences awaiting discussion. A screen preview is a communication aid; it should not be treated as confirmation of the finished appearance or of technical feasibility.

For feedback, record the comment, the file or preview it refers to, the response and any unresolved question. If one person approves the wording while another is still checking placement, keep those decisions separate. Do not turn a partial review into a blanket approval, and do not fill gaps with assumed production specifications.

Before handing over the next version, send a short summary of what changed and what still needs a decision. Ask the recipient to identify the version being reviewed. Manufacturing methods, material suitability and production requirements need their own confirmation with the relevant supplier; an artwork record cannot settle those questions.

Keep the latest agreed files, the decision log and outstanding questions together. Where artwork includes third-party material, retain the relevant permission information and clarify any uncertain use before sharing it for the project. A concise handover makes the discussion easier to revisit without presenting a design preference as a verified product claim.
