A bone china tableware image can show more objects than a buyer intends to request. A cup, saucer, spoon, tray and decorative background may appear together, yet the image alone does not establish what an order includes. Start by identifying what is visible, then keep the requested pieces separate from the supplier-confirmed scope.

Give the reference image a clear name or number. List the visible objects without assuming their material, dimensions or commercial role. If an object is difficult to identify, describe its position and ask a question. Calling something a prop is still an assumption until its role in the presentation has been clarified.

Next, write a separate list of the pieces the buyer wants to discuss. State whether the image is being used to identify a shape, describe an arrangement or introduce a visual preference. These are different uses of a reference. Permission to share the image also needs to be clear before it is circulated for the project.

Ask which items a supplier response actually covers. A reply about a cup should not quietly become confirmation about the saucer or every object pictured beside it. Preserve unanswered questions, and distinguish an initial suggestion from a confirmed description of the proposed order. Do not fill an empty line with an assumed inclusion.

When the intended scope changes, identify the added or removed pieces explicitly. Keep the earlier request available for comparison, but mark which list is current. Captions, enquiry text and any later summary should refer to the same scope, rather than relying on a picture to communicate an unspoken change.

The result is a simple connection between an image, a buyer request and the response received. It does not establish product properties or manufacturing capability. Actual specifications and order arrangements need their own appropriate confirmation; a well-labelled picture is a discussion aid, not a complete commercial agreement.
